Executive Assistant
Workplace: Gdynia
Responsibilities:
- Facilitate board meetings by organizing and participating in discussions, and diligently preparing meeting minutes.
- Coordinate all aspects of board meeting logistics to ensure seamless proceedings.
- Organize and provide support for teleconferencing and videoconferencing,
- Prepare concise summaries, reports, analyses, and presentations for the board's consideration.
- Ensure efficient flow of information both internally between the board and subordinate units, and externally with stakeholders.
- Maintain an up-to-date schedule of board meetings.
- Assist board members with their tasks as needed.
- Arrange domestic and international business trips for board members.
- Manage company correspondence directed to the board members.
- Draft and dispatch outgoing correspondence to subordinate units and external entities on behalf of the board.
- Collaborate closely with various organizational units to optimize support for the board's functions.
Expectations:
- Experience in a similar position;
- Higher education;
- Very good knowledge of MS Office (especially Excel, PowerPoint, Outlook);
- Communicative knowledge of English (B2/B2+ preferred);
- Very good organizational skills and independence in performing assigned tasks;
- Highly developed interpersonal skills;
- Category B driving license.
